How to reply to Google reviews
Replying to every review, good or bad, shows customers that a real person is listening. Here is a simple way to do it, with examples you can adapt.

Why replying matters
Google shows your replies under each review, and people read them before choosing where to go. Replies show that you pay attention, and a calm answer to a bad review can reassure the next customer more than the review itself hurts. Google also says that responding to reviews shows you value your customers, and that more reviews and positive ratings can help your local ranking.
How quickly should you reply?
Aim for within 1–2 days. Fast replies feel genuine, and a habit of replying keeps your profile active. If you have a backlog of old unanswered reviews, work through it a few a day instead of replying to all of them at once.
How to reply to a positive review
- Thank them by name.
- Mention one specific thing they said, so it does not read like a template.
- Invite them back in a single short line.
Example: “Thank you, Priya! We're so glad you enjoyed the butter chicken and the quick service. See you again soon.”
How to reply to a negative review
- Stay calm and be brief. Never argue or blame the reviewer.
- Acknowledge the problem and apologise for the experience.
- Offer a way to resolve it offline, such as a phone number or email.
- Do not share personal details about the customer, their order or their treatment. This matters most for clinics.
Example: “We're sorry about the 40-minute wait, Priya. That is longer than we want for any guest. Please call us on [number] so we can make it right.”
What about a review with no text?
A short thank-you is enough. “Thank you for the 5 stars! We appreciate your support.” There is no need to invent details.
Mistakes to avoid
- Copy-pasting the identical reply to every review. Customers notice.
- Arguing, or accusing a reviewer of lying.
- Offering free items or discounts publicly in exchange for changing a review.
- Replying only to negative reviews.
- Replying in a tone that does not match your brand.
